Who we are
This website (spellboundevents.uk) is run by Spellbound Events Management Limited, trading as Spellbound Events (“we”, “us”). We are the data controller for the personal data described in this policy.
Address: Arch 8 Angel Lane, London, SE17 3FR, United Kingdom
Email: contact@spellboundgames.co.uk
What we collect and why
Ticket and shop orders. When you buy from us we collect your name, email address, phone number, billing address and order details. We use these to process your order, send confirmations and event information, run our events (for example player lists and check-in) and provide customer support. Legal basis: contract. We keep order records for 6 years to meet UK tax law. Legal basis: legal obligation.
Your account. If you create an account, we store your login details and order history until you ask us to delete your account.
Marketing emails. If you buy from us and do not tick the opt-out box at checkout, we will email you about our upcoming events, tickets and news. Every email includes an unsubscribe link, and you can also unsubscribe at any time by contacting us. Legal basis: legitimate interests and the “soft opt-in” under the Privacy and Electronic Communications Regulations (PECR). If you sign up to our newsletter without buying, we only email you with your consent.
Back-in-stock alerts. If you join a waitlist, we use your email address to tell you when the item is available again, and delete it once the alert is sent or you unsubscribe.
Contact forms. When you message us, we use your name, email address and message to reply. We keep these messages for up to 2 years.
Comments. If you comment on a post, we collect what you enter plus your IP address and browser details to help detect spam. Your email address may be checked with Gravatar to show your profile picture.
Payments
Payments are handled securely by our payment providers: WooPayments/Stripe, PayPal, Klarna, Clearpay and Amazon Pay, depending on the method you choose. We never see or store your full card details. Each provider has its own privacy policy.
Cookies and analytics
We use essential cookies to keep your basket and login working. With your consent, we also use statistics cookies (Jetpack Stats) and marketing cookies (Google, TikTok and Reddit) to understand how our site is used and to measure our advertising. You can change your choices at any time using the Manage Consent option on our site.
Who we share your data with
We only share your data with service providers who help us run our website and events:
- Automattic (WooCommerce, Jetpack, WordPress.com) for site services and newsletter delivery
- our web hosting provider
- our email delivery provider, for sending order emails
- the payment providers listed above
- Google, TikTok and Reddit for advertising measurement, only if you consent
Some of these providers process data outside the UK. Where they do, they use approved safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. We never sell your data.
Your rights
Under UK GDPR you have the right to:
- access a copy of your data
- have it corrected
- have it deleted
- restrict or object to how we use it
- move it to another provider (data portability)
- withdraw your consent at any time
To make a request, email contact@spellboundgames.co.uk. We will respond within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping your data safe
Our site uses HTTPS, access to our admin area is restricted, and we keep our software up to date. If a data breach puts your rights at risk, we will tell you and the ICO as the law requires.
Changes to this policy
We will update this page if our practices change. The date at the top shows when it was last updated.
